For better or worse (and.
unfortunately, it's often for worse),
putting 'everything under one pane of glass' renders just about everyone in your company a member 
of your accounting team.
In our experience, given the intensive training that's necessary to make that arrangement work, only the most seasoned teams -
teams with very little turnover - get full benefit from an expensive ERP
system such as Acumatica®. In the worst cases, the data pollution that follows a conversion to a fully-integrated system leaves the decision makers wishing they'd opted for a simpler solution.

Beware of the "Under One Pane Of Glass" Pitch

We're betting you've recently heard from someone who wanted to sell you new software. Perhaps an ERP such as Acumatica® or Microsoft Dynamics® or Sage®. The features and capabilities of these fully-integrated platforms, you're told, are the solution to every pain point, issue or problem you've ever faced as a General Contractor, Homebuilder or Remodeler. The silver bullet, you're told, is for you to "put everything under one pane of glass." But there are real problems with that pitch.

First, in our experience, many
 (most?) of the accounting-related pain points, issues and problems General Contractors, Homebuilders and Remodelers typically complain of have nothing to do with which software platform they're using but, rather, are the result of who's running, and who's in, the Accounting Department. And unless that issue is addressed and resolved, upgrading to a new software platform - be it Sage®, Foundation®, Acumatica® or some other perfectly capable system - isn't going to solve the problem. In fact, it very likely will make it worse.

Second, migrating to an ERP such as Acumatica® redefines the Accounting Department, this new "everything under one pane of glass" system immediately rendering everyone - from the CFO on down to the most junior member of the Field Staff - now capable of inputting, and expected to input, job time and cost information and data that now finds its way straight away up into the general ledger and, by extension, straight into the company's financial and management accounting reports. Garbage in, garbage out. In the worst cases we've seen, the data pollution that followed a conversion to a fully-integrated system left management wishing they'd opted for a simpler solution.

And, lastly, if you're currently on QuickBooks Desktop®, a migration to QuickBooks Online® is your best option.

QuickBooks Desktop® Will Soon Become Abandonware

If the smell that hits you when you log in to QuickBooks Desktop® reminds you of a refrigerator with a three-month old gallon of milk in it, there's a logical explanation:

QuickBooks Desktop® is Beyond its Expiration Date. 

And it just got worse. If you're a General Contractor, Homebuilder or Remodeler that still uses QuickBooks Desktop®, let this be your warning: the 26-year old program you're running your business on, which was first introduced in 1998, long before cloud computing was a thing, has (as of August 31, 2024) finally (and officially) been declared by Intuit® to be abandonware.

But don't just take our word for it. Read Section 13.1.2 (c) of Intuit's 2024 Softward License ("Additional Terms and Conditions for Intuit QuickBooks Desktop® Software"), wherein Intuit reserves the right to deem QuickBooks Desktop® to be at the end of its life and to not offer you any further renewals of your subscription (if you haven't already agreed to this new software license, rest easy... you'll be required to do so soon).

As their first step toward abandonment, Intuit has announced to its Platinum Pro Advisors (AscendantVG is Intuit-Certified Platinum Pro Advisor Firm No. 1231-4650-7520-124) that QuickBooks Desktop® will no longer be accepting new users. Furthermore, we've been advised that 2025 will be the final year the platform will be supported by Intuit and that current users of the software should be prepared to migrate off of it by no later than the end of 2025. In response, we're strongly encouraging all users of QuickBooks Desktop® to be off of the software by the end of 2024, so to allow for a margin of error in the event issues should arise with a migration.

It's Time to Migrate to QuickBooks Online®

Introducing (Re-Introducing) QuickBooks Online®

Okay. So before we go any further here, let's address the elephant in the room. Fact is, many General Contractors, Homebuilders and Remodelers were early adopters of QuickBooks Online® and found it to be an unacceptable alternative to QuickBooks Desktop®.

We get it. 


But a lot has since changed. Whereas QuickBooks Desktop® Enterprise Contractor's Edition used to be the most powerful Construction Accounting application Intuit offered, QuickBooks Online®, following an aggressive development program of updates, upgrades and enhancements, now holds that distinction. The roles are now reversed.

To understand how QuickBooks Online® can be a powerful general ledger solution for a General Contractor, Homebuilder or Remodeler, one must first understand the differences between how QuickBooks Desktop® approached, and how QuickBooks Online® now approaches, that task. Whereas QuickBooks Desktop® Enterprise Contractor's Edition endeavored to provide General Contractors, Homebuilders and Remodelers with a version of the software that was presented as being a pre-packaged solution for the construction and contracting industry, QuickBooks Online® is a fully customizable solution that is, in essence, sold as a software shell.

The good news is QuickBooks Online® can be configured in countless ways; most notably, this includes the ability to synchronize your cloud-based general ledger in real time with leading, industry-specific programs (ERPs, CRMs, WMSs, etc.) exclusive to your industry (in the General Contracting, Homebuilding and Remodeling spaces, those would include Procore® and Buildertrend®). It's an incredibly powerful blank slate.

The bad news is QuickBooks Online® begins its life as a blank slate. Which means that, in order for a migration from QuickBooks Desktop® to succeed for a General Contractor, Homebuilder or Remodeler, QuickBooks Online® must be configured and deployed by someone who understands how to take that blank slate and mold it into a robust, fully-featured construction accounting application. Absent this, QuickBooks Online® will appear as a featureless lightweight (and to those of you early adopters who already tried to migrate to QuickBooks Online® and gave up, does any of this sound familiar?).

Getting the most out of QuickBooks Online® as a construction accounting application requires that we also intimately understand the dominant project management platforms in the industry. We're fully certified on both Procore® and Buildertrend®; we recommend the former for General Contractors and the latter for Homebuilders and Remodelers.

Knowing all of the various software components and the capabilities of each is of critical importance here. Because one of the first decisions that will need to be made - and it is perhaps the most important decision - is which platform will do what? Where will QuickBooks Online® serve as the lead and where will an integration partner (Procore® or Buildertrend®) serve in that role?

For example, will times be kept using QuickBooks Time® or will they be kept using the onboard systems offered by Procore® or Buildertrend®? There are advantages to both approaches and the decision will be determined by how you run your business and what's most important to you. Same issue arises for Job P&Ls, AVB reports, WIP reports, customer invoicing...the list goes on. Will QuickBooks Online® by the data lead or will it be the slave? These important considerations will all come together in a final integration that works best for you and your business, all predicated on how you run your business and what's most important to you.

Okay...So What Does it Cost?

No one publishes statistics, so no one can say for certain, but if we're not currently the outright leader in converting Homebuilders and General Contractors from QuickBooks Desktop® to QuickBooks Online®, we're certainly in the running for that title. In the 30 days prior to April 15, 2024, we converted just shy of 50 Homebuilder and General Contractor QuickBooks Desktop® files to QuickBooks Online®.

In other words, we've done this once or twice and have assembled a very good data set on what it takes, and thus what it costs, to get a conversion successfully done. Given that experience, how we price this is outlined below.

BUT, before you review the pricing that follows, we have an important point we'd like to make. It's often said that many people make the mistake of thinking there are only two realms of knowledge, the first being what you know and the second being what you don't know. But, fact is, there are actually three realms of knowledge, three "buckets" into which pretty much all knowledge can be placed. First realm is what you know you know, second realm is what you know you don't know and the third (and often missed) realm is what you don't know you don't know.

Okay, so we said that to say this: anyone who would suggest that the pricing below is unreasonably expensive is, in our humble and professional opinion, suffering from the third realm. They are opining on something that they don't know they don't know. As we said above, we've done this a time or two and, as such, we know that we know how much time, energy, effort and expertise it takes to do the following tasks right.

PAYMENT TERMS

33% due upon scheduling, 33% due upon commencement of work, remainder due upon substantial completion of work. Times in excess of allowances billed as incurred, payable on receipt. Our contract explains all of this in further detail. Please ask for a copy if you have questions. 

IMPORTANT NOTES:

Unlike QuickBooks Desktop®, on which any number of companies could be kept inside one software subscription, QuickBooks Online® does not allow for multi-company use. In fact, a separate subscription to QuickBooks Online® must be purchased for each unique company. This has resulted in a dramatic increase in software costs for migrators who currently use one QuickBooks Desktop® subscription to account for multiple companies. To address this issue, Intuit has created a special pricing plan for its Platinum Pro Advisors (we're Platinum Pro Advisor No. 1231 4650 7520 124). Using this special program, we're able to convert multiple companies from one QuickBooks Desktop® subscription into multiple QuickBooks Online® subscriptions at a cost that is typically less than (or, at a minimum, competitive with) the client's current cost for QuickBooks Desktop®.


However, migrators with multiple companies inside one QuickBooks Desktop® subscription are likely to exceed the time allowances included in the fee quoted above, particularly if the ability to consolidate financial statements among multiple entities is desired. Let's discuss if this is you.


An integration of QuickBooks Online® + Procore® requires an integration tool, a software "bridge" not unlike the old Procore®-built Desktop connector that's currently commonly used to link QuickBooks Desktop® + Procore®. Potential migrators to QuickBooks Online® + Procore® should be prepared to pay for this additional software; a good budget number is $4,000 per year. Larger contractors will pay more, smaller ones will pay less. We recommend the Smoothlink® connector and are Certified Solution Providers on that platform. Procore® also has its own Procore®-built connector for QuickBooks Online® and we have experience with it. But, as of this writing (April 15, 2024), that connector is some distance behind the Smoothlink® connector in terms of its features and capabilities.
